These Terms of Service (the "Terms") are an agreement between you and Trailhead Tax ("we," "us," "our"). By using our website at mytrailhead.tax or signing in to Basecamp, you agree to them. If you do not agree, please do not use the site or Basecamp.

01Who we are

Trailhead Tax (formerly C&A Welch Inc.) is a tax and bookkeeping practice in Folsom, California, staffed by Enrolled Agents licensed to practice before the Internal Revenue Service. We are bound by Circular 230 and by the confidentiality rules of Internal Revenue Code sections 6713 and 7216.

02What these terms cover

These Terms cover two things:

  • The website, including articles, calculators, quizzes, and every other public page.
  • Basecamp, the private, signed-in page we provide to clients and prospective clients.

They do not replace your engagement letter. If you have hired us, the engagement letter you accepted through Ignition, our billing and proposal partner, governs the professional work itself. Where these Terms and an engagement letter disagree about that work, the engagement letter wins.

03Basecamp accounts

Basecamp is available by invitation. We create your access; there is no public sign-up. You sign in with a one-time link we email you, or with a Google account you have connected. Because your email inbox is effectively your key, you agree to:

  • Keep the email account you use for Basecamp secure, with a strong password and two-step verification where available.
  • Not forward sign-in links or share your Basecamp access with anyone. Each person who needs access should have their own invitation.
  • Tell us promptly if you believe someone else has used your access or if your email account has been compromised.
  • Use Basecamp only for your own account, or for an account you are authorized to act for, such as your business.

We may suspend or remove Basecamp access at any time to protect your information, to comply with law, or when an engagement ends. Removing access does not delete our professional records, which we keep as described in our Privacy & AI Policy.

How to know it is really us. Our emails come from an @mytrailhead.tax address and link only to mytrailhead.tax or our TaxDome portal. Invoices come from Ignition. We never send tax documents or ask for your Social Security number by email. How we keep your information out of email →

04Professional services

Tax preparation, bookkeeping, payroll setup, and advisory work are provided only under a signed engagement letter that describes the scope, the fee, and each side's responsibilities. Using this website or Basecamp does not by itself make you a client, and nothing we publish here creates a practitioner relationship.

Information you see in Basecamp, including financial dashboards and summaries, is drawn from records you or your systems provided to us and from the accounting data we maintain for you. It is a working view for our shared use, not an audited statement, and it may change as we complete our work.

05Website content is not advice

Articles, calculators, quizzes, and other public content on this site are general educational information. They are not tax, legal, accounting, or investment advice for your situation, and reading them does not create a client relationship. Tax law is written by Congress and changes often; content may be out of date or may not apply to you.

06Acceptable use

You agree not to:

  • Attempt to access another person’s Basecamp account or any data that is not yours.
  • Probe, scan, or test the security of the site or Basecamp, or interfere with their operation.
  • Use automated tools to scrape, copy, or bulk-download content or data.
  • Submit false information, impersonate anyone, or use the site for anything unlawful.
  • Send abusive or fraudulent requests through our forms or sign-in flows.

If we find you doing any of this we may suspend access and, where appropriate, notify the affected people or authorities.

07Third-party services

We rely on carefully chosen partners to run the practice. Your use of Basecamp and our services may involve:

  • Google, if you choose to sign in with a Google account. Google’s own terms and privacy policy apply to that account.
  • TaxDome for secure document exchange and e-signature.
  • Ignition for proposals, engagement letters, and invoices.
  • QuickBooks Online for bookkeeping, where you have connected your company file to us.

Each partner is bound by contract to protect your information. We do not control their services and are not responsible for their availability. Our Privacy & AI Policy describes what we share with each and why.

08Intellectual property

The site, Basecamp, and everything we publish, including text, design, code, calculators, and the Trailhead Tax name and marks, belong to Trailhead Tax or our licensors. You may read, print, and share links to public pages for personal, non-commercial use. Anything more, including reproducing articles or building on our tools, needs our written permission.

Your records remain yours. Uploading documents or connecting an accounting file gives us permission to use them only to perform the work you engaged us for.

09Warranties and liability

The website and Basecamp are provided "as is" and "as available." We work hard to keep them accurate and running, but we do not promise they will be error-free or uninterrupted, and we may change or retire features without notice.

To the fullest extent permitted by law, Trailhead Tax is not liable for indirect, incidental, or consequential damages arising from your use of the website or Basecamp. Nothing in this section limits the responsibilities we take on in a signed engagement letter, and nothing limits liability that cannot be limited under California law.

10Changes and termination

We may update these Terms as the practice and the law change. The date at the top tells you when. If a change is material for Basecamp users, we will say so in Basecamp or by email. Continuing to use the site or Basecamp after a change means you accept it.

You can stop using the site at any time. To close your Basecamp access, email us and we will remove it. Our record-retention obligations under IRS rules continue regardless.

11Governing law

These Terms are governed by the laws of the State of California, without regard to its conflict-of-law rules. Any dispute about these Terms will be brought in the state or federal courts located in Sacramento County, California, and you consent to that venue. Disputes about professional services are handled as described in your engagement letter.
